Communication in progress can face several difficulties of alter end up being misunderstood by the recipient (Nielsen, 2008).

Communication is effective when the sender and the receiver have the same information and the same understanding as was intended. In this context then one should consider the contents of the message including how well it is structured, the audience who it is meant to reach and the way in which it is meant to be perceived and interpreted meaning the mode, language, tone and even circumstance. For example one cannot give all the bad things that the deceased had done right at the ceremony, instead one gives the good attributes irrespective of how few they were for respect sake.

Distinct stages of communication

These persons must have the ready information they want to confer to another party and want immediate response to the message. Their intention must be at the back of their minds and is in a bid to expect an answer based on message. This forms the initiator or the person who starts up the communication process and it's the some person who should be given feedback in a timely manner depending on the urgency of the message.

The strength of the message in terms of immediate effects upon interpretation is required to determine know how fast or slow to send depending on the urgency (Nielsen, 2008). The backgrounds of the recipient should be put in place also to put in consideration is the perception of the message in terms of how well it ought to be implemented. Cultural issues should be considered for example taboo to convey a message if it were raining; it could as well turn out to be bad news.

Communication Channel

The most effective channel is one which is fast and most effective and less distortion possible. This can be in the form of new up to date technology. There are different channels of communication which would be used depending on the nature of the message in terms of content and urgency of the message.

The senders encode the message to be sent in a manner which the recipient will be able to decode it. This the way in which one can effectively understand best the message and avoid misinterpretation of even words which have synonyms (Nielsen, 2008).  Once the receiver got the message he decode/interpret the message to be able to understand it.

This is the person who receives the message and their reaction to the message is what gives a respond and begins the process back to the sender. This is the last person/stage of communication. The timely response of the receiver to provide a feedback is very essential as it ensures that the communication cycle is completed successfully.

A proper response too the first message at hand is what makes the sender realize how effective their communication was and make improvements on another occurrence reducing chances on misunderstanding at the various levels (Nielsen, 2008).

Effective communication commence without fault or with a minimal if any

Important stages of Communication

  1.  If message is disoriented, by being too long, full of mistakes this is can be misunderstood one should just be brief and precise.
  2. Too much information is time consuming, else it could be misleading. Therefore, the information conveyed should be precise and to the point.
  3. Understand your audience, their background, understanding and their ways of feedback.

In communication, listening, writing, speaking, reading and reasoning skills are put across as important. One should reduce wrong attitude for communication and have proper communication skills put in place. The content of the message come in handy and is the core of communication (Nielsen, 2008). The channel through which we communicate is important for speed and efficiency, the environment and community receiving the information comes in handy.

Barriers to Effective Communication

Language of the recipients' matters as one cannot communicate in language that they do not understand this also reduces misinterpretation. Defensiveness, this is majorly of wrong interpretations and embarrassment that comes along with it when ones to mean one thing when their message reads another (Nielsen, 2008). This can be given by the attitude that one gets from the recipients. Body language is a problem to many and should be avoided as it could even lead to evils such as rape. Lack of patience, rush of getting a response could trigger a wrong one and so there miscommunication best is to wait.

Communication also requires good recipient by way of listening meaning that the recipient has understood by just listening to a conversation and this has to be reached by an understanding of the message at hand. It can be in the form of passive, active, responsive this can be in a forum or an event and receptive which involves the full understanding and responding by asking questions making a flow of conversation (Nielsen, 2008). Listening traits are very important as they highly determine on if the person communicated to have grasped all what is required and has giver the communicator time to convey their message.

Questions can thus be asked by having open end meaning that one gives all the knowledge they hold on a particular topic. Funneling by having questions in general then to a point that they are well detailed and specific to give proper details of a topic. Probing questions are those requiring exact details such as those asked in courts of law. Leading questions can be those that require a certain line of response to a question (Nielsen, 2008). Rhetorical Questions this can be done by having no specific answer readily required.

In most universities a democratic method of communication is not really used as the students' ideas and those of the administration cannot be at par and this way they use representatives to work for the good of all.
